Book The Exhibit (Requirements)

"Alzheimer's Illustrated: From Heartbreak to Hope" is a traveling quilt exhibit. It is part of the Alzheimer's Art Quilt Initiative (AAQI) whose mission is to raise awareness and fund research through art. ALL PROFITS FUND ALZHEIMER'S RESEARCH.

We are now accepting applications to book "Alzheimer's Illustrated: From Heartbreak to Hope." If you are interested in booking the exhibit, please read the information below thoroughly and check the travel schedule. Exhibit Size:
  • There are 182 "Name Quilts" each measuring 6 inches by 7 feet. Each quilt has 55 patches bearing the names of people who have or had Alzheimer's or a related dementia. Names have been written on the wrong side of purple cloth by family and friends. The bright side of the fabric, filled with the color and pattern of life, is lost inside the quilt, much as people with Alzheimer's lose themselves.

  • Additionally, there are 54 quilts, approximately 9 inches by 12 inches, that tell the story of Alzheimer's.

  • Layout and room requirements: 180 linear feet in 18 10-foot sections only.

  • Traditional "Pipe and Drape" is required for installation. Height must be 8 feet tall. Width of crossbars must be 10 feet wide. (Black drape only, at least 4 drapes per 10-foot section.) Important: 18 additional 10-foot crossbars are required, one for each for each "wall" of the exhibit. (Electrical conduit may also be used.) A fabric header is suspended from this additional crossbar and the quilts Velcro onto the header.

  • A Curator must approve exhibit layout and hanging apparatus before a Rental Agreement is offered. Send a detailed line drawing, to scale, with measurements of all walls, door openings, and any room obstructions.


Availability:
  • The exhibit will travel from January 2011 to December 2015 within the United States only.
  • Confirmed bookings will be listed on the travel schedule.
  • Application to host the exhibit is made by email, green text below. Non-refundable fee applies.
  • The exhibit must be presented in its entirety, in numerical order, according to a layout approved by a Curator.
  • A Curator must approve exhibit layout and hanging apparatus before a Rental Agreement is offered. Email a detailed line drawing, to scale, with measurements of all walls, door openings, and any room obstructions to AmiSimms@aol.com.


Security:
  • Limited-access gallery or display area is required; hallways, lobbies, other traffic ways are not acceptable.
  • This exhibit must be supervised by at least three trained staff (White Glove volunteers) when open to the public. One will staff the Information table and two will attend to visitors to the exhibit.
  • Exhibition must be locked after hours.
  • A "statement of engagement" for the security detail must be provided with the signed contract.
  • NO sunlight. Windows must be blocked by shades or blinds at all times.
  • No food or drink may be permitted in the exhibit area at any time.
  • Fire protection and room occupancy limits must be in accordance with local ordinances.
  • Careful handling by responsible venue representatives during set-up/take-down is demanded. Do NOT delegate and run.
    • Handling of quilts with clean hands or white gloves only.
    • Quilts NEVER touch the floor.
    • Only display using hanging system provided.
    • Affix NOTHING to the quilts. Ever.
  • "Do Not Touch" / "Do Not Photograph" (provided) must be prominently displayed at all times.
  • Adherence to all shipping and packing instructions is mandatory. Before quilts ship, you will be required to demonstrate competence in securing plastic "zip ties."
  • At least two cell phone numbers must be provided so Curators can reach responsible persons during set-up, exhibit hours, and take-down.
  • Borrower must telephone a Curator immediately after set-up to report condition of quilts or risk liability for damage not reported.
  • Venue must give attendance numbers to a Curator within 10 days of forward shipping quilts. Attendance numbers will be used to promote the exhibit in the aggregate.


Insurance:
The exhibit quilts are insured, however the Borrower must agree to pay $500 deductible per incident in case of loss or damage. A list of quilts and value will be provided.

Borrower must provide proof of personal and property liability insurance for venue which names "Alzheimer's Illustrated: From Heartbreak to Hope" specifically.

Fees & Other Considerations:
  • $500 for first week; $400 each additional week (travel time is not charged).
  • Signed contract and non-refundable deposit of 10% are required to hold dates.
  • Remainder of rental fee is due 45 days before event.
  • Insured shipping via UPS (or similar) both ways (may be to/from other venue at discretion of Curator) with tracking numbers provided to Curator. If exhibit is not return-shipped to arrive by pre-determined set-up day at the next exhibit venue, Borrower will be fined $500. The exhibit travels in 6 plastic totes, each weighing between 34 and 39 pounds. They measure 33" (L) x 21" (W) x 19" (H).
